Meetings are one of the most overused elements of a business. Meetings can be too rushed or too drawn out, too broad or too narrow, too structured or too loose.
Here are five tips to make sure your next meeting accomplishes its goals:
1. Have an agenda. You need to take care of old and lingering issues before discussing new ones. You need to call the meeting to order and adjourn it. Begin the meeting, recall minutes from last time, discuss unfinished issues, delve into new territory, ask questions and then come to a close.
2. Do your homework. Have your co-workers let you know what they would like to bring up prior to the meeting so no one is sitting around with no idea what to say. Also, check to make sure everyone you plan on attending your meeting knows where and when it is. Lastly, notify specific people who need to present reports to be prepared.
3. Be brief. Call the meeting to order and run down your agenda in a businesslike fashion with as little comment as possible from yourself and co-workers. Keep questions to a minimum, unless the issue at hand truly causes a dilemma with the people present.
4. Open it up to questions. After new business is finished, always ask if there is any unfinished that may need attention. Ask for any questions about decisions or comments made.
5. Remember to close. Make sure to adjourn the meeting. Don’t wait around with an awkward air of silence in the room. End the meeting so decisions made can be implemented immediately and work can continue.
