Job Description

The Communications & Events Coordinator supports Girls Inc. of Worcester’s development and engagement efforts, playing a key role in donor relations, volunteer engagement, event planning, and communications. Reporting to the Director of Development, this position collaborates closely with the Development Team and across departments to ensure consistent messaging, strong community presence, and efficient donor and alumnae stewardship.

Responsibilities:
Donor Relations & Database Management

  • Manage the donor database (Bloomerang), maintaining accurate and timely donor records.
  • Process donations and generate acknowledgments, tax receipts, and personalized thank-you communications.
  • Respond to donor inquiries via phone, email, and mail.
  • Support donor segmentation, tracking, and stewardship initiatives.
  • Collaborate with Finance to reconcile data and ensure proper tracking of donations.
  • Assist in developing and executing annual and campaign-specific fundraising appeals.

Marketing & Communications

  • Create and schedule content across all social media platforms and the Girls Inc. of Worcester website to align with organizational goals and mission.
  • Collaborate with program staff to support content creation and campaign execution.
  • Ensure consistency in branding, tone, and messaging.
  • Use analytics tools to monitor engagement and optimize strategies.
  • Coordinate creation and distribution of print and digital promotional materials.
  • Support other communication efforts, such as e-newsletters, press releases, and multimedia outreach.

Event Planning & Support

  • Lead coordination of development-related events including logistics, catering, volunteer coordination, printed materials, décor, and day-of support.
  • Collaborate with the Director of Development on all aspects of special events, including fundraising and cultivation events.
  • Manage volunteer event committees and task assignments.
  • Represent the organization at community events, fundraisers, and networking engagements.

Alumnae & Board Engagement

  • Maintain accurate records of Alumnae and Board engagement.
  • Coordinate stewardship efforts, event participation, and committee involvement.
  • Support ongoing evaluation of alumnae and board initiatives for effectiveness.
  • Ensure acknowledgment and recognition of contributions.
  • Board Liaison Support
  • Maintain board calendar and schedule all Board and Governance Committee meetings.
  • Prepare and distribute board packets and maintain board files on Google Drive.
  • Track board attendance and annual giving compliance.
  • Attend meetings and take detailed, professional minutes.

Intern Supervision & Support

  • Supervise interns supporting communications, social media, and event preparation.
  • Provide guidance, training, and feedback to ensure high-quality, mission-aligned content.
  • Assign projects and monitor timelines while fostering a supportive learning environment.

Work Schedule:
40 hours per week, full-time 8:30 AM-5:00 PM, 9:00 AM-5:30 PM, or 9:30 AM-6:00 PM

Salary and Application Information:

Full-Time, Non-Exempt

Hourly Rate: $24–$27.88/hr (based on experience)

Qualifications
  • Bachelor’s degree in communications, nonprofit management, development, or a related field or 3+ years of experience in fundraising, communications, or event coordination.
  • Experience with donor databases such as Bloomerang (preferred) or similar platforms.
  • Proficiency with social media, digital marketing, and content management systems.
  • Strong writing, editing, and verbal communication skills.
  • High attention to detail, time management, and ability to work independently.
  • Experience in event planning, logistics, and volunteer coordination.
  • Ability to maintain confidentiality and professionalism in donor relations.
  • Proficient in Microsoft Office Suite, Google Workspace, and willing to learn new software tools.

Additional Requirements:

  • Must be able to lift 25 pounds and move supplies as needed for events.
  • Must have or be able to obtain CPR/First Aid certification.
  • Must pass a comprehensive background check including fingerprinting (paid by applicant $30-50) as required by the MA Department of Early Education and Care (EEC).
  • Must have reliable transportation and the ability to attend evening and weekend events as needed.
  • Other duties as assigned in alignment with the organization’s mission and goals.
Salary Range
Hourly Rate: $24–$27.88/hr (based on experience)
