10 Things I Know About... Data Protection

Adam Winter is president of Swiftec IT Inc. in Shrewsbury. He can be reached at adam@swiftecit.com.

10. Use Protection
Make sure you have a firewall. Internet service providers (ISPs) like Verizon, Charter and Comcast give you two-way communication with the World Wide Web. A firewall lets you control who from the outside can access internal systems.

9. Secure Wireless Access Points
An access point is an entry point into your network. Make sure you require a key to access your network wirelessly.

8. Use Spam Filters
Millions of viruses, spyware and pieces of malware are being sent across the Internet every day. For best results use a solution that intercepts and cleans your e-mail before it gets to you.

7. Centralized AntiVirus
A centralized antivirus product can monitor, scan, update and report on all your computers automatically.

6. Use $tr0nG P@ssw0rds
A strong password consists of three of the four of the following: an uppercase letter, a lowercase letter, a number and a character.

5. Desktop Security
Would you leave your wallet open on your desk when you leave for a meeting? When you leave your computer logged in, you are given people access to whatever you can see. Set the screen saver password option to 20 minutes.

4. Stay Current
Updates (security, patches, virus) are released hourly/daily/weekly/monthly. The urgency is because a security hole was identified and software vendors are scrambling to update your systems before you are exposed. Be sure to update often.

3. Encrypt
Personal information (social security numbers, driver’s licenses, bank account, credit cards, etc.) should always be stored in encrypted files. Word and excel have this feature available to secure your data.

2. Go Offsite
Diligently backing up your data is good practice but keeping a copy of your data offsite is better.

1. Control Access
Not everyone should be able to see everything. By using groups and assigning rights appropriately to the group, employees with the same job function will be able to do their jobs.
